Schedule email subscriptions

Overview

Heap allows you to schedule daily, weekly, and monthly emails based on charts and dashboards you’ve saved. The emails show images of your charts, with the option to include a CSV attachment. Below is an example of an email for one chart.

Setting up email subscriptions

Open up an existing chart or dashboard, or create and save a new one. The Subscribe button won't appear for unsaved charts or dashboards. 

Click Subscribe button and fill out the form.

You can configure the email frequency (daily, weekly, or monthly) and the time (in your timezone). Multiple emails can be added with a comma separator.

Toggle on Include CSV attachment if you want to include a CSV in addition to the email. If you opt into a CSV attachment for a dashboard, there will be a separate CSV file for each of the top ten charts. 

Click the Subscribe button in the pop-up to save your subscription. 

Managing email subscriptions

Click Subscribe to edit or delete existing subscriptions on a given chart or dashboard. Click the pencil icon to edit and the trash can icon to delete the subscription. Recipents can unsubscribe from the emails they receive as well.

Tell me more about the data in my email subscription?

The data is from ‌midnight to midnight for the date and time you chose, and only reflects the Heap environment the charts and dashboards exist in. 

Email subscriptions are designed to be complementary to the data you see in Heap. For best results, you should match the frequency to the granularity.

  • The frequency you set controls how often you get the email
  • The granularity affects how and what data is shown in the email
  • If you set a compare to operator in the chart, then the data will look the same as if you ran the chart in Heap at the time that the chart was sent

Daily charts that go farther back than the past 30 days will be truncated to the last 30 days. Hourly charts that go farther back than the past 7 days will be truncated to the last 7 days.

Can I send email subscriptions to addresses that haven’t been added to my Heap account?

Yes, you can send emails to email addresses that haven’t been added to your Heap account. However, those recipients won’t be able to open the charts in Heap. If they click on the name of the chart in the email, they’ll get an error message.
